Office Coordinator

MSR Design is seeking a highly organized, dependable office coordinator to keep the day-to-day workings of our Minneapolis studio running smoothly.

This position is a part-time, fully in-person role with a deliberately focused scope. Because the work centers on the daily needs of our physical studio—welcoming visitors, supporting meetings and events, maintaining shared spaces, handling mail and deposits, and keeping the office stocked and functioning—it requires working on site and is not a remote or hybrid job.

The position involves noticing what needs attention, keeping recurring tasks moving, helping the office feel welcoming and well cared for, and making it easier for the rest of the team to do their best work.

We are looking for someone who enjoys being at the center of a busy workplace, takes pride in detail, and is comfortable shifting between routine administrative work, meeting and event coordination, and the practical needs of a physical office.

Job Responsibilities

The office coordinator will be responsible for the everyday administrative and workplace functions of the studio, including:

  • Keeping the office running: Maintaining tidy shared spaces; stocking the kitchen, snacks, beverages, and office supplies; and coordinating routine office equipment needs.
  • Supporting meetings and events: Coordinating logistics; maintaining and booking conference rooms; catering; and ordering supplies for firm gatherings, recurring all-staff meetings, interviews, onboarding meetings, and other events.
  • Managing calendars and scheduling: Maintaining key company calendars and recurring meetings and coordinating scheduling for interviews, new-hire onboarding, and other firm activities.
  • Handling day-to-day office administration: Answering the main phone line; managing incoming mail and incoming/outgoing packages; preparing and making bank deposits; welcoming visitors and notify employees of their arrival; assisting vendors with conference room setup for product update presentations; and supporting other routine office needs.
  • Supporting staff culture: Coordinating office celebrations and gatherings and providing logistical support to MSR Design's Fun Committee.
  • Coordinating with our building: Serving as the day-to-day contact with the landlord and property management team for access requests, maintenance requests, and general building communications.
  • Maintaining professional licensure records: Tracking deadlines, maintaining records, and processing routine professional license renewals.

Qualifications of Ideal Candidate

The right person will be organized, responsive, resourceful, and naturally service-oriented. The office coordinator notices the small things before they become problems, enjoys bringing order to moving pieces, and is equally comfortable setting up a meeting, troubleshooting an office need, or making sure an important recurring deadline doesn’t get missed.

Strong communication, time management, and organizational skills, comfort with common office technology, and prior experience with office administration or workplace coordination are important.

We are a seeking candidates with a minimum of 4 years of experience in office administration, workplace coordination, or office management within a professional business environment. The successful candidate will be able to assume responsibility for daily office operations with minimal training and limited supervision. Experience in a professional services, architecture, design, or similar office environment is a plus.

This role is designed for someone who wants to make a meaningful contribution to a collaborative workplace through a consistent, in-person schedule of 24 hours per week. Remote candidates will not be considered.

Hourly Wage

$24—$26/hour

Work Location

510 Marquette Avenue South, Suite 200
Minneapolis, MN 55402
